What to provide

State who will read the email, what you want them to do and the relationship between you. Supply the facts that may be included, the tone and a length limit. Mark dates, prices and promises that must stay exact. For a sensitive message, anonymize names and identifying details. Ask for a subject line and one practical draft before requesting more tone variants. Separate an apology, a status update and a request for action: they have different purposes and should not become a generic polite paragraph.

Example starting request

Help me with email. Give the recipient, the goal, and the tone. Ask for three drafts: direct, warm, and formal. Explain your reasoning and identify anything I should verify.

Worked example

Illustrative example, not a generated result or a user transcript.

Original: “Hi, just wanted to say we are still checking your request. I do not know when it will be done but will tell you once I know.” Illustrative revision: “Subject: Update on your request. Hello, we are reviewing your request. We do not have a confirmed completion date yet. I will send another update when we have more information. Thank you for your patience.” The revision keeps the uncertainty rather than inventing a deadline.

The draft makes the purpose visible in the subject and removes filler from the opening. “Reviewing” does not promise that work is complete, and “no confirmed completion date” avoids implying a schedule exists. A warmer version may acknowledge the reader’s inconvenience, but only if that matches what you mean. Check whether “we” and “I” accurately describe who is responsible. This is an authored before-and-after example, not a sent email or a guarantee of a reply from its recipient.

Check the answer

Read the draft as the recipient: is the status clear, and is any requested action explicit? Compare every date, amount, attachment reference and commitment with the source facts. Remove invented explanations such as staff shortages or technical faults unless you supplied them. Check the recipient and attachment separately in your mail client. Mother drafts text; this task guide does not send email on your behalf. For legal, employment or contractual disputes, get appropriate review before sending a polished sentence that may create an unintended commitment.
